Contacts

Legal Office has dynamic contact management module to record all the contact details of an organization's employees and customers. You can effectively manage contact information in this module without hassle and confusion. This module will work as a dedicated digital address book where you can configure the basic contact details of your employees, customers, suppliers and partners of your company. Keeping contact details is very important in a business environment.

You will be able to gain easy access to this module and easily retrieve contact information at any time on this platform. When you open the module, you will land on the home panel of contacts. This platform will show all available contacts in the system.




Kanban view of contacts will show basic contact information and picture of the respective contacts. The default, as well as customizable Filters and Group By options, can be used to sort available contact data. You can also use the Favorites option to add selected contacts to your favorites list.

The contact list view can be viewed as shown in the screenshot below.

The contact list will show the contact's Name, Phone, Email, Salesperson, Next Activity, City, Country and Company. The three dots shown in the upper right corner of the list will show additional categories to expand the list view.

Now, let's discuss how to configure new contact details in this module.

Initially, you have to click on the 'Create' icon provided in the module's home panel. You will be taken to a new contact creation window as shown below.

This field will allow you to create an individual contact as well as a company contact. You can select the appropriate option in the respective field. Mention the contact's name, address, VAT, telephone, mobile, email, website, language and tags in the spaces indicated.

In the Contacts and Addresses tab, you can add contact information using the 'Add' button. By clicking the 'Add' button, a pop-up window will appear as shown below.

You can add multiple addresses to this platform. Invoice and delivery addresses are used on sales orders. The Private Address will only be visible to authorized users. You can add the contact's name, address, email, phone and mobile number in the fields provided. The Notes field can be used to add additional notes about contact addresses. You can save the details by clicking the 'Save and Close' button. To add a new address, you can use the 'Save and New' button.

Details about sales and purchases for the specific contact can be configured on the Sales and Purchases tab.

In the Sales field, you can designate a person as a Seller and select Payment Terms and Price Lists in the spaces provided. You can also add Delivery Method for sales orders. In the Point of Sale field, you can add the Barcode to identify this contact. On the Purchase tab, you can add Payment Terms, Payment Methods and Supplier Currency for purchases. You can enable Receipt Reminder to send an automatic confirmation email to the supplier to confirm the date. You can specify the Tax Position in the Tax Information menu.

In the Miscellaneous Information field, you can add Reference, Company, Site, Site Tags, and Industry.

On the Billing tab, you can add the contact's bank account details.

By clicking on the 'Add a line' button, you can add your bank details and account number.

The Legal Office provides an additional field to add internal notes about the contact.

On the Partner Assignment tab, you can add the contact's geographic location in the specified field.

In the Partner Activation field, you can specify the Partner Level, Activation and Level Weight. You can set the Last Partner Revision, Next Partner Revision and Partnership Date on the Partner Revision tab.

The association details about the contact can be defined in the Association field.

You can select the Free Membership option if you want to offer a free membership to the contact. In the Associate Member field, you can assign a member that you want to associate your membership with. You can also specify your current membership status in the field provided.

After filling all the required fields in the create new contact window, you can click the 'Save' button to save the new contact.
